Migrating Your DataYard Email Data to Gmail from Outlook

Gmail provides a tool to help people migrate from Outlook to their accounts, making the process relatively straightforward.  There are, however a few prerequisites for this process:
  1. You must have your DataYard email account configured and working in Outlook as either an IMAP or POP account
  2. You must be using a Windows computer

If you need help setting up a suitable IMAP email program for Step #1 and #2 in the checklist you should take a look at the How-To article below. Setup your email program, get your @donet.com or @gemair.com email working there first, and then return to these transfer steps.

IMPORTANT: We also recommend that you configure your email forwarding first, so that no mail is missed during the migration process.  Return to this procedure after you've forwarded your donet.com email to your Gmail address. 

There are two main steps to migrating your DataYard email data to Gmail:
  1. Exporting your data to a "pst" file.
  2. Using Google's import tool to migrate the file contents directly into Gmail.
Creating the PST

  1. Open Outlook and click on "File" in the top left hand corner
      
  2. Click "Open & Export"


  3. Click "Import/Export"


  4. You will then select "Export to a File" and "Next"


  5. Select "Outlook Data File (.pst)"


  6. You will then have to select the donet.com account in case you have multiple mail accounts setup in Outlook, make sure that you have "Include subfolders" selected, and click "Next"


  7. The last step is to select "Do not export duplicates" and click "Finish"


  8. Save the file to a memorable location on your computer.  This file is a full export of your Outlook data: email, calendar entries and contacts.  It can always be opened in Outlook or kept as an archival copy if desired.  This completes the first step of data migration

Importing the PST file into Gmail
  1. Download the "exe" version of the Google Workspace Mail migration tool here: https://tools.google.com/dlpage/gsmmo 
  2. Install the tool by running the downloaded file


  3. Run the tool by searching for Google in the start menu


  4. Enter your email address and click continue


  5. A browser window will open where you sign in to Gmail and then grant the tool access to your Gmail account by clicking "Allow" this application to make changes


  6. In the drop-down menu, select "From PST File(s)", you'll be prompted to select a PST file on your system.  Select the file you exported previously. Then, select "Migrate All Data", and hit "Next"


  7. Select everything you would like to be imported into the new gmail.com account and hit "Next"


  8. You should then see the next screen, showing the status of the migration. Once this shows that it has completed all mail from your donet.com/gemair.com email account should be in the gmail.com account.  This step can take quite a while, especially if you have a large mailbox, so patience is key here.  


  9. Once the migration/upload is completed, all of your email will be in GMAIL can you can close out of the "Google Workspace Migration for Microsoft Outlook" and uninstall it from your computer (Control Panel > Programs > Uninstall a Program > Select "Google Workspace Migration for Microsoft Outlook" and click Uninstall). 

And there you have it: once you've successfully completed these steps you will have copied your email messages from your Donet email account to your Gmail account.
